Field names and descriptions
Student ID (M)
Tab past this field. A student identification number will be automatically generated (consisting of the year of enrolment and the number of students enrolled that year to date).
ED ID (M)
Tab past this field. A unique departmental identification code will be automatically generated (consisting of the school number of the school at which the student was first enrolled plus the student identification number). For students transferring from another state government school, the previous school's ED ID should be used.
Family >>
Displays the family code of the student.
Fam Name (M)
Displays the family name of the student.
Given (M)
Type the given name of the student.
Preferred (M)
Defaults to the given name of the student. Type a preferred name if applicable.
D.O.B. (M)
Type the date of birth of the student in dd/mm/yy format.
Gender (M)
Type the gender of the student.
Admin YrLv >> (M)
Type or double click to select the school year level of the student (eg. 07)
Census YrLv >> (M)
Type or double click to select the census year level of the student. This is usually the same as the admin year level (eg. 07), but where the student is in a special year level (eg. PL - newly arrived primary), that year level should be used to enable accurate census reporting.
Roll Class >>
Type or double click to select the student's current roll class or home group.
Next Class >>
Leave this blank. An entry will only appear if the student has been allocated a roll class for the next calendar year using the Allocate Students to Next Roll Classes process.
FTE (M)
Defaults to 1.00. Type a different full-time equivalent status (in 0.01 increments) if required (eg. 0.83).
Status >>
Defaults to Active. Type or double click to select a different status (if required).
Campus >>
Defaults to the campus if only one exists. Type or double click to select a different campus (if required).
House >>
Type or double click to select the house to which the student belongs.
Enrolled
Type the date that the student enrolled at the school in dd/mm/yyyy format.
Distance from school
Type the distance that the student travels to school.
School Card
Click this tick box if the student has a school concession card. If ticked, the following two fields must be completed.
Approval Code >>
Type or double click to select the school concession card approval code.
Approval Date
Type the date that the school concession card was approved (in dd/mm/yy format).
Neg Curriculum Plan
Click this tick box if the student has a negotiated curriculum plan.
Handouts
Defaults to ticked. Click this tick box if the student is not to receive notices, newsletters, etc.
Medical condition
This tick box can be used to add or remove student medical condition information, and it also indicates whether medical condition information exists for the student.
If unticked, no medical condition information exists. In Edit mode, the tick box can be selected to display the Student Medical Condition Information screen so that information can be entered.
If already ticked, medical condition information already exists. To add additional medical condition records, use list box option M or refer to SYS Adding medical condition information to student records . In Edit mode, the tick box can be deselected to remove all medical condition records. You will be prompted to confirm this action. To remove individual medical condition records, use list box option M or refer to SYS Editing or deleting medical condition information attached to student records .
Custody order
This tick box can be used to add or remove student custody order information, and it also indicates whether custody order information exists for the student.
If unticked, no custody order information exists. In Edit mode, the tick box can be selected to display the Student Custody Details screen so that information can be entered.
If already ticked, custody order information already exists. To add additional custody order records, use list box option M or refer to SYS Adding custody details to student records . In Edit mode, the tick box can be deselected to remove all custody order records. You will be prompted to confirm this action. To remove individual custody order records, use list box option M or refer to SYS Editing or deleting student custody records .
ATSI
Click this tick box if the student is Aboriginal or Torres Strait Islander.
ESL
This tick box can be used to add or remove English as a Second Language information, and it also indicates whether ESL information exists for the student.
If unticked, no ESL information exists. In Edit mode, the tick box can be selected to add ESL information to the ESL Support Details screen .
If already ticked, ESL information already exists. In Edit mode, the tick box can be deselected to allow editing or deleting of ESL information. You will be prompted to confirm deletions.
Show
Click to show the students' photo image (if imported).
