SYS Importing data from DATEX

This system task is used to import student personal, subject enrolment, class or subject data from DATEX.

Note:
The match criteria for candidate personal details are: Student ID; SSABSA School No.; Fam Name; Given; D.O.B.; Gender; Student SSABSA Number (if it exists); and TAFE Number (if it exists).
The match criteria for subject enrolments are: Student ID; SSABSA School No.; Student SSABSA Number; SACE Stage; SACE Code; SACE Units; SACE Class; SACE Var. (for stage 2 subjects); Subject Expiry Date (Year); and Semester.
The match criteria for class details are: SSABSA School No.; SACE Stage; SACE Code; SACE Units; SACE Class; SACE Var. (if it exists). Stage 2 records, and records with no accession number will be ignored. Records which do not meet the year criteria will be written to a file called classimp.rej in the windows/temp directory.
An import of SSABSA subject details overwrites the contents of the SSABSA Subject Reference Table with the latest SSABSA subject codes and descriptors. Only a member of the EDSAS DATEX group can perform this operation.

  1. Click Curriculum Module....
    The Curriculum Module... menu displays.
  2. Click DATEX....
    The DATEX... menu displays.
  3. Click Import from DATEX.
    The DATEX Import screen displays.
  4. Do one of the following:
    • To import student personal data, click Data file for Candidate Personal Details.
    • To import subject enrolment data, click Data file for Subject Enrolments.
      • Specify the year to include (if different to the current year).
    • To import class data, click Data file with Class details.
      • Specify the year to include (if different to the current year).
    • To import subject data, click Data file with Subject details.
  5. Specify a source filename or location (if different from that already specified).
  6. Click OK.
  7. If a message displays asking if you are sure you want to import the data (as temporary information will be overwritten), click Yes.

    Importing will commence. (This may take some time depending on the quantity of data being imported).

    After importing is complete a message may display and indicate where to find rejected records (if any) or records with no accession numbers (for class imports).
    If this message displays, note the message and then click OK.
  8. If importing subject data, when the import is complete the Report Selections Dialog box displays.
    • Enter all required details and click OK.
      The Select Destination screen displays.
    • Do one of the following:
      • To view/print the report click OK.
        The Report Viewer displays. Use the report viewer to print the report, and then close the report viewer.
      • To print the report only, click the Print Report option and click OK.
        The Information message displays and the report is sent to the printer.

        The report lists school subjects (in EDSAS) which have SSABSA subject code data, but which are not in the newly imported table. Such orphan codes may need to be updated in the School Subject Details screen .

        The Importing complete message displays.
  9. Click OK.
    The DATEX... menu displays.
  10. Click Main to return to the Main menu .
