SYS Matching and committing imported DATEX data

This system task is used (after importing DATEX data) to edit and match exception/non-matched DATEX data, and then commit the matched records to EDSAS.

  1. Click Curriculum Module....
    The Curriculum Module... menu displays.
  2. Click DATEX....
    The DATEX... menu displays.
  3. Click View Transfer Tables.
    The DATEX Import Edit / Commit records screen displays.
  4. Do one or more of the following:

  2. Click Edit.
  3. Change all required details and click Save.
  4. Click Cancel.
    The DATEX Import Edit / Commit records screen displays.
  5. Repeat steps 1 - 4 to edit other records (if required).
  6. Click Match.
    The Select records for matching: list displays.
  7. Select the required record(s) for matching and click OK.
    Processing commences and matching is attempted.
    When processing concludes, the Matching complete message displays. Note how many records have been matched successfully.
  8. Click OK.
    The DATEX Import Edit / Commit records screen displays.
  9. Repeat steps 1 - 8 to edit and match other records (if required).
  10. Do the following:

  1. Do one of the following:
    • To commit matched student personal details, click Matched Candidate Personal Details.
      The non-matched student personal details display.
    • To commit matched subject enrolments, click Matched Subject Enrolments.
      The non-matched subject enrolments display.
    • To commit matched class details, click Matched Class Details.
      The non-matched class details display.


  2. Click Commit.
    The Are you sure? message displays.
  3. Click Yes.

    If committing candidate personal details, the following fields will be updated: TAFE Number; WBLA Moderated Result 1 to 4; Institution Decl.; Media Declaration; Date Completed; and Candidate Status SSABSA (on the Student SSABSA Number Details screen ) and O/S Full fee (on the Student Personal Information, Part 2 screen ).

    If committing subject enrolments, the following fields will be updated: School Level; SSABSA Speed; SSABSA Ach. Score; School Grade; HEES Score; Lev. Result and Enrl. Status (on the Student Academic Record Details screen ). If the data is for the current year, a new academic record will be created. If not for the current year, the incoming data will be matched using existing academic records. If duplicate records match, then the record with Yes in the Final field, or the most recent record, will be updated.

    If committing class details, the Accession Number field will be updated on the School Class Details screen .
  4. Repeat steps 1 - 3 to commit other records (if required).
  5. Click Cancel to return to the DATEX... menu and click Main to return to the Main menu .
