SYS Making a student left

When a student leaves (or dies), this system task is used to process the student's new status. Processing usually occurs after the school has received the Student Transfer Advice (ED046).
Related system tasks include:
Path: Student Module... > Student Utilities...> Make Student Left

  1. Click Student Module....
    The Student Module... menu displays.
  2. Click Student Utilities....
    The Student Utilities... menu displays.
  3. Click Make Student Left
    The Update Student's Leaving Details screen displays.
  4. Enter all available details and click OK.
    The Student Personal Information, Part 1 screen displays if the student does not have outstanding fees.
  5. If the student has outstanding fees an Outstanding AR items exists for this student to Save anyway message displays. Do the following, otherwise go to step 6.:
  6. Check that the Roll Class is correct and the Status is L (Left).
    If the Status should be D (Deceased), change it as required.
  7. Click Save.
    The Student Personal Information, Part 2 screen displays.
  8. Check that Date left is correct.
  9. If the student is transferring to another government school, enter the school number of the other school in the Dest Sch field.
  10. Click Save.
    The Student Roll Class History screen displays.
  11. Check that Effective to date is correct and click Save.
    The Student Leave Details screen displays.
  12. If the student is leaving the state government school system, do the following, otherwise go to step 13:
  13. If the student is not leaving the state government school system, do the following:
  14. To enter more students that have left, repeat steps 4 to 13.
  15. Click Cancel to return to the Student Module... menu .
  16. Click Main to return to the Main menu .
    Important
    If the student has been recorded as absent, when they had actually left (which is often the process before a school receives the ED046 form), then all absence data after the leaving date needs to be deleted.
    Refer to SYS Editing or deleting student absentee records to delete all absence data after the leaving date.
